The role

The Concierge & Lifestyle Manager will be responsible for managing requests and CRM administration for Essensa's most valuable members and their demanding lifestyle needs, acting as the single point of contact for a portfolio of high-net-worth members.

This will range from everyday tasks — restaurant reservations, chauffeurs and transfers, theatre tickets and hotel bookings — to accessing sold-out events, sourcing limited-edition items, designing private travel and organising once-in-a-lifetime experiences.

Key duties

  • Provide excellent, discreet service to members by phone, email, messaging apps and in person
  • Onboard new members and maintain a detailed preference profile — dietary, travel, seating, brands, family, key dates
  • Anticipate needs from the member's calendar and profile rather than waiting for the request
  • Research and put together clear, well-priced proposals within agreed timeframes
  • Secure restaurant tables (including sold-out and same-day), event and theatre tickets, chauffeurs, car hire and transfers
  • Design and book private leisure travel — commercial and private aviation, hotels, villas, yachts, itineraries, on-the-ground contacts — and manage changes and disruption in real time
  • Personal shopping, sourcing of hard-to-find items, gifting and special-occasion planning
  • Plan and deliver private events and dinners from brief to execution
  • Liaise and negotiate with suppliers on behalf of members; confirm supplier terms with the member before any commitment
  • Build and maintain the supplier network — restaurants, hotels, DMCs, ticketing, boutiques, specialists — and negotiate member benefits
  • Keep an accurate, same-day log of member data, requests and outcomes in the CRM
  • Handle complaints and difficult situations to resolution before escalating
  • Support colleagues' requests across other markets and time zones
  • Represent Essensa at networking, supplier and member events
  • Meet individual and team KPIs — response time, resolution time, member satisfaction, engagement, retention

Key skills & attributes

Preferred background: luxury hospitality, luxury brands, luxury travel, private members' clubs, Executive Assistant to a senior manager, or UHNW individuals servicing — three years or more.

  • Fluent written and spoken English; Spanish, Italian or Russian a plus
  • Exceptional attention to detail
  • Creative problem solving — the alternative when the first answer is no
  • Works to strict deadlines under pressure with many open requests at once
  • Strong research skills and good knowledge of worldwide destinations and luxury brands
  • Confident with CRM tools and Microsoft 365 / Google Workspace; GDS (Amadeus, Sabre) an advantage
  • An established black book of restaurant, hotel, ticketing and boutique contacts an advantage
  • Diplomacy and calm with demanding personalities and last-minute change
  • Absolute discretion and confidentiality; willing to sign an NDA and complete background checks
  • A ‘can-do’ attitude, passionate about service, strong work ethic, self-starter

Hours of work

Standard terms will include working 40 hours per week, 5 days out of 7, on a flexible shift pattern, hybrid between home and office. Candidates should be prepared to work some evenings, weekends and public holidays on rota, with time off in lieu or enhanced pay for unsocial hours.
