Supplier Code of Conduct
Essensa’s reputation rests on the people and businesses we work with. This code sets out what we expect of every supplier, partner and contractor who provides goods or services to our members on our behalf.

1. Scope
This code applies to every supplier engaged by Essensa, whether directly or through an intermediary, and to their staff and sub-contractors. Acceptance of an engagement is acceptance of this code. Where local law or a supplier’s own standards are stricter, the stricter standard applies.
2. Discretion and confidentiality
Our members’ privacy is absolute. Suppliers must not disclose a member’s identity, whereabouts, plans, preferences or the fact of their custom to anyone, must not photograph or record members or their guests, and must not use a member’s name in any publicity. Information shared to fulfil a request may be used only for that request and must be deleted when it is no longer needed.
3. Integrity
- No bribes, kickbacks, undisclosed commissions or improper inducements, to or from anyone.
- Pricing that is honest, transparent and no higher than a supplier would offer any comparable client.
- Accurate records and invoices, and prompt disclosure of any conflict of interest.
- Compliance with applicable anti-corruption, sanctions, competition and tax laws.
4. People
- No forced, bonded or child labour, and no trafficking, anywhere in the supply chain.
- Fair pay that meets or exceeds legal minimums, reasonable hours, and freedom to organise.
- A workplace free from harassment, discrimination and retaliation.
- Safe conditions, proper training and equipment, and compliance with health and safety law.
5. Quality and safety
Suppliers must hold the licences, insurances and certifications their service requires, must meet the standard they have described to us, and must tell us at once if they cannot. Safety, including of aircraft, vessels, vehicles, venues and food, is never traded for convenience or cost.
6. Environment and community
We expect suppliers to comply with environmental law, to minimise waste and emissions where they reasonably can, to respect the communities and places in which they operate, and to be honest about the provenance of what they supply.
7. Data protection
Personal information about members or their guests must be handled in accordance with applicable data protection law and our instructions, kept secure, not transferred onward without our authority, and returned or destroyed when the engagement ends.
8. Raising concerns
Anyone who believes this code has been breached, or who is asked to act against it, should tell us through the contact page. Concerns are treated in confidence and no one suffers for raising one in good faith.
9. Compliance
We may ask suppliers to confirm their compliance and, on reasonable notice, to allow us to verify it. A breach of this code is grounds for ending an engagement immediately. We would always rather work with suppliers to put things right, but not at our members’ expense.
