1. Who is responsible

Essensa Ltd, of 14 Mount Street, Mayfair, London W1K, is the data controller for personal information collected through this website and in the course of providing our services. Questions about this policy can be sent through the contact page.

2. What we collect

• Details you give us when you request access, join the waiting list or contact us: your name, country of residence, email address, telephone number, the membership you are interested in, how you heard of us and anything you write in your message.
• Details members give us in the course of the service: preferences, travel documents, dietary and household information, the names of family members and guests, and payment details where relevant.
• Technical information when you use the website: your IP address, browser and device type, and the pages you visit, collected by our hosting provider’s standard server logs.

3. Why we use it

• To consider a request for access or a place on the waiting list, and to arrange a conversation with you (our legitimate interest in running a members’ service, and steps taken at your request before entering a contract).
• To provide the service to members and to arrange goods and services with suppliers on their behalf (performance of the membership agreement).
• To send the Essensa Journal where you have asked for it (consent, which you can withdraw at any time).
• To keep the website secure and to understand how it is used (our legitimate interests).
• To meet our legal obligations, including record-keeping and, where applicable, anti-money-laundering checks.

4. Who we share it with

We share personal information only where the service requires it: with the suppliers we engage for you (a hotel needs a name; an airline needs a passport), with the professional advisers and service providers who support our business under confidentiality obligations, and with authorities where the law requires. We never sell personal information and we never share membership lists.

5. International transfers

Our members travel, and arranging services for them often means sending information to suppliers outside the United Kingdom and the European Economic Area. Where we do, we rely on adequacy decisions, standard contractual clauses or the fact that the transfer is necessary to perform the service you have asked for.

6. How long we keep it

Requests for access that do not lead to membership are kept for up to two years in case a place opens, then deleted unless you ask us to remove them sooner. Members’ information is kept for the life of the membership and for six years afterwards to meet our legal and accounting obligations, after which it is deleted or anonymised.

7. Your rights

You may ask us for a copy of the personal information we hold about you, ask us to correct or delete it, object to or restrict its use, ask for it in a portable form, and withdraw any consent you have given. You may also complain to the Information Commissioner’s Office. To exercise any of these rights, contact us through the contact page; we will respond within one month.

8. Cookies and analytics

This website sets no advertising or tracking cookies. It uses no third-party analytics. Fonts are served by Google Fonts, whose servers receive your IP address when the page loads; no other information is shared with them.

9. Security

We protect personal information with technical and organisational measures appropriate to its sensitivity, including encryption in transit, access limited to those who need it, and confidentiality obligations on our staff and suppliers.

10. Changes

We may update this policy from time to time. The date at the top of this page shows when it last changed; material changes will be brought to members’ attention directly.
